The Headlines
We’re excited to be working with a company who design, manufacture and retails exclusively pressed vinyl alongside the best artists in the world, to find an organised and proactive Vinyl Production Coordinator with excellent communication skills and a passion for records, to join their growing team! This role has the potential to be offered as freelance or contract in the first instance dependent on experience / candidate preference.
The Role
The ideal candidate will be a highly organised and detail-oriented Production Coordinator who will be responsible for supporting the Creative Director and CEO with production and administration. The role will involve assisting with the entire vinyl manufacturing process (from assets gathering, approvals, production, distribution and fulfilment) while also providing general admin support. The successful candidate will have some experience of physical music production and be able to juggle multiple tasks with a high volume of tight and varying deadlines.
Key Responsibilities will include:
Production:
- Coordinate management of the entire production lifecycle of vinyl records; ensuring all production components (audio, artwork, packaging etc.) are submitted on time, technical specifications are met and creative is executed perfectly.
- Work closely with pressing plants, printers, production brokers and fulfilment centres to maintain manufacturing timelines, delivery schedules and ensure all deadlines are consistently met.
- Keep detailed records of manufacturing specs, quantities, production costs and inventory levels.
- Quality control – log and inspect all test pressings and print proofs with an exceptionally keen eye and ear.
- Troubleshoot production challenges, staying adaptable when things don’t go to plan.
- Maintain clear communication between internal teams, partners and external suppliers to ensure quality and efficiency.
Administrative support:
- Mail and couriers – manage a large volume of outgoing post via several different carriers and track/organise the receipt of incoming deliveries.
- Compile and distribute regular sales reports (OCC/Luminate etc.)
- Assist in preparing presentations, reports, and stats for senior staff members.
- Organise and maintain the company’s product library and archives.
- Provide occasional PA support to the Creative Director and CEO in the form of diary management, travel bookings and scheduling meetings.
The Person
Deadlines in this industry are extremely tight, so the candidate must be proactive and able to stay calm under pressure. You’ll also be working with a range of personalities so strong communication skills, patience, and a realistic approach to the logistical challenges of vinyl production are essential.
- Thrives under pressure and can juggle multiple projects while always meeting tight deadlines.
- Strong organisational skills with the ability to manage fast-moving and sometimes unpredictable workflows.
- Excellent communication and problem-solving abilities, especially when dealing with suppliers and manufacturers.
- Expert working knowledge of project management systems and Microsoft Office/Google Suite.
- Proficiency in Adobe Creative Suite (Photoshop, Illustrator) desirable.
- Familiarity with the vinyl manufacturing process desirable.
